- Presentations must keep to the time slots and order from the program.
- Do not allow speakers to change the order.
- If a speaker arrives late, they cannot present at the end.
- If a speaker is a no-show, do not start until the proper time block. Please wait to start the next presentation during their allotted time.
- To fill any open space, we recommend discussing prior presentations, a popular topic relating to your session, or a short break.
- Do not let speakers go over their time slot or start early.
- Several speakers are unable to attend in person. In this case, the pre-recorded video of the presentation should be played during that time slot. Pre-recorded videos will be loaded onto the session laptops. Room volunteers can support in playing.
- Please review the session chair duties below.
- Arrive to your session room at least 15 minutes before the start of the session.
- Presenters must check in with you before the session starts. The presentations should be loaded on the laptop but presenters should still check that their slides are correct. Please check that all presentations are uploaded in advance.
- If you have a presenter that are virtual, please run the pre-recorded video. Direct any questions to the speaker on the CONFlux app.
- The presentation time slot for a regular talk is 20 minutes (15 minutes for the presentation and 5 minutes for Q&A). Do not allow the speakers to go past their assigned time. The presentation time slot for an invited talk is 30 minutes (25 minutes for the presentation and 5 minutes for Q&A).
- We recommend giving speakers a 2-minute warning if their presentation is approaching the end of their allocated time. If this happens, you will need to skip the Q&A portion. We will provide timer sheets to use.
- Make a note of any no-shows within the session on the CONFlux App.
After each session, please complete your Session Chair Form by following the steps below:
- Log in to the CONFlux event app using the same email you provided to the conference organizers. You may access your account using a One Time Password (OTP).
- If you have previously logged into another event, confirm that you are viewing the correct event.
- Click your avatar in the top right corner.
- Select My Chaired Sessions from the dropdown menu.
- Choose the session for which you are submitting the form for.
- Toggle (✓) to indicate which papers were presented.
- Once all selections are made, click Submit.
Please complete the form promptly after each session. Forms cannot be modified once submitted, so review your selections carefully before submitting.
